5.1.5 Deviating schedules (incl. blocking)

Please note: This guide requires you to have completed the 5.1.4 Working Hours (Timeslots) step first.

Also: Deviations, as you are about to learn, adds and not replaces your working times. E.g. if you are available for “Video meetings” from 8-12, and create a deviation for “Store meetings” from 8-12, it means that you are working with both types of meeting.

 

In some cases, it can be relevant for a resource to work in another way (deviate) than the person usually does.

 

This means that e.g. if the person normally does Video Meetings and in a short period only does Store Meetings, then this can be set up.

 

To do this;

  • Click on Resources

  • Choose the desired resource

  • When you are on the specific resource, click on

Using deviation for alternative work schedule

(To be done when you are deviating from your normal working hours and meeting types. You can also add additional working days/times; e.g. if you work on a day that you normally do not)

  • Start by clicking on Resource in the menu

  • Select the resource in question

  • In the menu on the right click on the +Meeting Type Availability Deviation

  • A new fly-out menu appears

  • In the new menu fill out;

    • Resource: Leave this field untouched

    • From: Time and date of which the deviation takes place from

      • Make sure the timeslot and date is not in the past, and that this date and timeslot is BEFORE the date and timeslot in the ‘To’-field

    • To: Time and date of which the deviation takes place to

      • Make sure the timeslot and date is not in the past

    • Meeting Type: Choose which kind of meeting(s) you support in the given timeframe; choose between Video Meeting, Store Meeting and Home Meeting

    • Store: Fill out which store this concerns (you will need to fill out for each store, if this concerns multiple stores within a franchisee)

  • Finish by clicking on Save and Close in the bottom


    The website will now “listen” to this deviation, meaning the resource will only be available for such types of meetings.

Example: Deviations lasting for more than 1 day

(Should be used the same way as described in the guides above, however, you need to make sure that your work schedule does not exceed the working hours of the deviation. This approach should be used both for blockings and alternative work schedules.)

 

Example: I am on holiday from April 3rd to April 5th, and should therefore not be bookable these days.

  • When creating the deviation, you need to make sure your work schedule does not exceed the hours of the deviation.

  • In this example, a deviation is created from April 3rd to April 5th in the hours between 08:00 - 17:00. This means, that the deviation will be active the following days:

    • April 3rd from 08:00 - 17:00

    • April 4th from 08:00 - 17:00

    • April 5th from 08:00 - 17:00

  • You should check your work schedule to make sure that you are taking the hours into consideration. For example, if you through your work schedule are available for meetings until 20:00 on April 4th (a Thursday), you need to extend the deviation until 20 for all days, otherwise, you will be bookable from 17:00 - 20:00 that day.

  • Click Save and Close in the bottom

How to get an overview of your deviations

  • Under the resource look in the box called ‘Meeting Type Availability Deviations’

  • You can use the arrows to shift between the dates

  • You can alternatively use the drop-down arrow next to ‘Day' to filter on other types of views

  • The blue box indicates that there is a deviation; either meeting type deviation or a blocking

  • To get more information about the deviation, click on the Name of the deviation

  • In the new window you will be able to see which timeframe and what meeting type the deviation covers;

  • Go back by clicking on Save & Close in the topbar

 

How to delete a Deviation

  • Under the resource look in the box called ‘Meeting Type Availability Deviations’

  • Find the deviation you want to delete

    • You can use the arrows to shift between the dates

    • You can alternatively use the drop-down arrow next to ‘Day' to filter on other types of views

    • The blue box indicates that there is a deviation; either meeting type deviation or a blocking

  • Click on the Name of the deviation

  • A new window of the deviation will now appear

  • Click ‘Delete

 

  • Click Delete
